Job Requirements:

Job Responsibilities:
- committee Secretariat: Act as the Secretary for designated QA committees, councils, and working groups (e.g., Academic Standards Committee, Quality Review Boards). This is a primary function.
- Schedule meetings and coordinate attendance for internal and external stakeholders (faculty, deans, external examiners).
- Prepare and circulate agendas and supporting materials in advance
- Accurately record, transcribe, and distribute meeting minutes and action points.
- Monitor the implementation of committee decisions and follow up on outstanding actions with relevant departments.
- Office Management: Manage the daily operations of the QA office, including diary management, handling external correspondence, and organizing travel for external reviewers.
- Documentation and Information Management:
Document Control: Manage the central repository of all QA documents, including policies, procedures, regulations, and reports.- Ensure all official documents (e.g., Quality Handbook, Academic Partnership Handbook, Program Specifications) are accurately formatted, updated, and version-controlled.
- Facilitate the archiving of all quality assurance records, both physically and electronically.
- Data and Reporting: Assist in the collection and compilation of data required for internal and external quality reports (e.g., student feedback surveys, key performance indicators).
- Maintain and update internal databases and tracking spreadsheets related to quality review cycles and accreditation status.
- Correspondence: Handle the logging, tracking, and distribution of all incoming and outgoing mail/correspondence for the Quality Unit.
- Quality Process and Compliance Support:
- Accreditation Support: Assist in the administrative preparation for national and international accreditation visits and audits (e.g., gathering required evidence, preparing logistics).
- Review Cycle Support: Provide administrative assistance for program and module approval, periodic reviews, and modifications, ensuring documentation follows university procedures.
- Stakeholder Liaison: Act as a first point of contact for staff and students seeking guidance on quality-related procedures, regulations, or forms.
- Internal Audit Assistance: Support the Internal Quality Audit (AMI) process by arranging meetings and helping auditors access the necessary documentation.
